Objective

This position is responsible for managing the portfolio of properties. The main purpose is to maintain the properties in a high level of efficiency and appearance and functionality.

Roles & Responsibilities – FACILITIES MANAGER

 

·         Oversee the operation, staffing, performance and development of the Facility Management service delivery.

·         Ensure client satisfaction with client Facility/Property Management by providing a seamless interface into client real estate organization; demonstrate leadership, responsiveness and creativity.

·         Oversee the development and management of the capital and expense budgets in the segment of portfolio assigned.

·         Implementation of short and long-term projects for the client project development and implement the annual management plan; accomplish key performance indicators as identified by client.

·         Oversee the appropriate monthly/quarterly/annual reporting appropriate for the client.

·         Maximize utilization of suppliers, vendors and contractors. Coordinate discussions with each vendor or supplier regarding goal setting, performance criteria, and performance review.

·         Ensure compliance with Jones Lang LaSalle minimum audit standards.

·         Keep tracking and to develop monthly/quarterly variance reporting on all operating budgets for each property on a timely basis.

·         Assist with the development and implement the annual management plan for the properties within the area.

·         Manage the Preventive and Planned Maintenance programme to minimise maintenance, repair and replacement costs together with minimising the risk of plant failure.

·         Ensure all Reactive Maintenance is completed as per the agreed timeframes.

·         Coordinate a property risk management program which identifies major property risks including occupational health and safety, fire safety and essential services and environmental.

·         Develop and implement innovative programs, processes and producers that reduce short and long term operating costs and increase productivity.

·         Assists the client in negotiations processes of new and the maintenance of existing contracts.

·         Provide the lead role to monitor customer satisfaction and increase it.

·         Benchmark services across properties within the country.

·         Evaluate service response time and analyse occupants’ service request trends and suggestions.

·         Ensure feedback from client sessions is recorded and actioned to the satisfaction of the end user.

·         Pro-actively develop and manage client / business unit relationships ensuring that the expected service levels are achieved across the region.

·         Lead by example and groom the team in achieving maximum client satisfaction level.

·         Maintain CMMS up to date regarding equipment and asset management input. Includes maintenance routines and technical sheet for all equipment.

·         Comply with premises inspection checklists and keep tracking of corrective actions.

·         Coordinate maintenance activities with maintenance vendors and document in clarify and CMMS

·         Assure all necessary supplies are provided to equipments normal operations (i.e. diesel for generator, electric parts etc).

·         Assure completion of all request assigned through clarify and/or CMMS in a timely basis.

·         Assure all premises within the portfolio assigned are in compliance with client’s standards (i.e. technical, operative and good appearance.

·         Pay attention to details and assure high quality works. Take the appearance of the portfolio to higher levels and assure client satisfaction.

Skills & Qualifications

·         We look for a person that pays attention to details. Experience in work supervision desired.

·         A minimum of 3 - 4 years in maintenance related task and responsibilities required with management experience preferred.

·         A minimum of 3 years’ customer service and quality assurance experience desired. 

·         Strong interpersonal, customer service and supervisory skills

·         Proficiency with Microsoft Office and Excel or equivalent knowledge of real estate desired.

·         Studies related to Civil Engineering, Architecture, Construction or similar

·         Minimum technical knowledge. Preferably knowledge of Air Conditioning, UPS, Generating Plants etc.
